Tenant Email Reminder Off Option

Prior to now there was no option to turn off automatic email notifications if you had a tenant whom you did not want email reminders delivered. Now, you have this option. You may turn off email notifications to individual tenants using the new check box on the Lease screen. This was suggested by a property manager who had outside arrangements with a particular tenant regarding payments. They did not want this tenant to receive the automatic system generated rent reminders.

Late Fee Options Added

Prior to now, our late fee was based on a per day basis only. Now, the property manager may set either a flat fee or per day rental late fee. This option was added to accommodate a property manager who charged a flat fee late fee rather than a per date late fee. This option is now present on the Lease screen. Enter the late fee desired then select 'Flat Fee' or 'Per Day'.

Patent Pending Lead Process

Rent receipt branding

This is an enhancement to the rent receipt system which emails property owners and tenants when payments are received. The enhancement is that emails will be branded with your company logo and your custom web site logon page link rather than the Internet Property Manager logo and web site links. This will keep your clients more engaged with your web site for current information regarding your business.

New Employee Transaction Auditing and Page Security

This is an enhancement to IPM software employee transaction auditing. Whenever one of your employees make changes to information a log is archived linking the employee to the specific transaction. This enhancement is a result of a customer request to be able to track which employees were making changes to the database. You may add as many employees as you need and each employee will have their own logon credentials. Page security is also available if you want to restrict certain employees from viewing or updating certain information. IPM Landlord Network in Pilot Testing

The 'IPM Landlord Network' has been rolled out and we are signing pilot landlords to test the system. This system is designed to fill vacancies fast by allowing landlords access to tenant leads that have applied for similar properties which are already occupied. Depending on network traffic it may take a few seconds for you to be authenticated and allowed into the system. We did not want people to mistake this short delay for inactivity. Now when this authentication process is occuring the entire screen is overlayed with a semi transparent friendly message that says your user credentials are being verified.

Automated Password Reset

If you ever forget your password or logon credentials there is a question mark to the right of where you logon. Click this question mark link and enter your email address. We cannot give out your password but our system will automatically reset it and email your logon credentials to your email address within just a few minutes. This works for anyone that uses IPM Software including Property Managers, Property Owners, Tenants and Contractors.

IPM - Internet Property Manager Software - To help make syndicating vacant rentals more efficient I have added a new link to the Vacancies Listing page at the far right of each property listed. This means you no longer need to log out to get the formatted CraigsList, BackPage, UIPost and other site HTML. From the Vacancies page, you can either pick out the specific property you need to syndicate, or you can start at the top of your list and simply work your way down quickly syndicating every vacancy listing at one time.

The deployment of our first two new IPM Network web sites which are focused on the business of property management and attracting localized leads, this is a huge burden off of our single site InternetPropertyManager.com which was serving way too many roles as advertising listings, collecting leads promoting IPM software and Promoting IPM Network (everything). With the deployment of our first two new localized sites, InternetPropertyManager.com is undergoing a much needed face lift so that it is focused entirely on advertising our software and growing localized network of independent sites. New Generic Online Payment System

We have taken the online credit card payment system using PayPal and created a generic version of this for property managers to use for any service they provide. This allows you to use major credit cards, PayPal accounts or e-payments for any service you provide. This is separate from the online payment system Tenants use to pay rent. The payments made with this new system are not captured in the general ledger system because they are not rent payments. For example, if you charge a client for a trip you make that has nothing to do with your property management, you could use this system to accept instant credit card payments...

Weekly Status Report Branding

Weekly Status reports are automatically generated and emailed to each owner Monday morning. Startging next Monday these reports will be branded with your company logo and links. Performance Improvement

This week I deployed a new technology on the web site to improve performance. After you log on and begin to navigate the pages you will notice the improvement. Searches and sorting no longer require the entire page to refresh. That action took several seconds. Now the sorts and searches do not require the page to refresh and are much faster and smoother.

New! Text Messaging Notifications to your cell phone

This feature is turned on by entering a Cell Phone number in your Property Manager Profile. If there is not a Cell Phone listed in your profile text messages are not sent. This is a great feature if you are frequently out of the office or will be away from your computer for an extended period of time. Or perhaps if you want an employee to be on-call with regard to filling vacancies, enter their cell phone number. Whenever someone responds to your online listing and you have your cell phone entered in your profile, you will receive a short text message containing the persons Name, Phone number, Rental Unit they applied for and Amount of Cash they have Available. Currently this feature only exists for Online Call-Back Requests. Although if anyone wants it could also be applied to other functions such as when payments are made? If you receive emails on your cellular device already this feature may not be needed. However, if you want to stay connected without having to constantly check emails or your web site this may be a great tool. All of the major carriers are supported including T-Mobile, Virgin, Cingular, Sprint, Verizon, Nextel. If you use another carrier and would like this feature please let me know. This may be a value added feature you promote to property owners that they will receive a text when payments are made?

Branding - Enhancement to the Online Call-Back Request System

When someone responds to your online rental/sales listings the email notifications sent out (to you, the owner, and applicant) from now on will be ‘branded’ as if they are being sent directly from your company web site rather than IPM. The Email will have your logo at the top and contact information including phone number and contact person at the bottom. The links contained in the email will return to your company home page rather than the IPM home page. Links to your company rental and sales listings on IPM will remain on the email. However, rather than going to the full list of IPM listings the links will go to your 'branded' IPM pages that also contain your logo and information and only the listings you have posted. This means applicants and owners are constantly being pushed to pages that are either part of your existing web site or pages that are 'branded' in a way that they look like yours.

Integrate Client Portals into your existing company web site

New IPM capability: Add the Complete Property Owner, Tenant and Management Web Portals of IPM seamlessly into to your Existing company web site. This is a Key step in turning IPM into a customized set of component that Property Managers/Realty firms can add to their existing web site. Rather than diverting clients to IPM, send them to your existing company web site (you are likely doing that already). When they log on from your site (live links for each of you below) they enter the IPM client portals. Upon exiting they are returned to your company web site. Building on this concept I talked with Lavonne and she had a brilliant idea that will soon be enabled. She requested that the email notification system which sends emails to applicants / owners / tenants / etc on your behalf highlights your company. So instead of IPM logos and contact information it will be replaced with your logo and contact information. I think that is a Great idea and would make the software much more marketable to firms. Your links are live now so feel free to give them a try with any of your current client logons (owners or tenants, anyone you want).

Multiple Owner Properties now Supported

IPM now supports true multiple owner properties. Each property and each unit within the property can be configured with either one owner or as many owners as needed to adequately define the property. The determining factor is how many people/owners need access to the data being archived by your management firm regarding the property. If it is a single owner home this is simple you have one owner. However, if the property is owned by a corporate entity then many individuals may need access to the information you are archiving regarding the property on a daily basis. Linking Tenant Applications with Leases

We are currently working on a feature that will allow you to select an existing tenant credit application and link/import that information when creating a new lease. This means you will not have to re-key information that is on the tenant application. The linkage is also persistant. Which means whenever you look up leases in the future their will be a link to the original tenant application. The tenant credit application contains much more detail demographic information about the tenant that may be needed at a later date especially if collections become necessary.

Property and Rental Units Screen Enhancements

Online Payments require PayPal Business Account

Online payments must be configured by IPM for your business. You will need a PayPal Business account to which you want tenant payments deposited. Once you have this PayPal account our staff will be able to configure the IPM software to deposit you tenant payments directly into your PayPal account. Tenants are charged a 3% fee to cover PayPal charges. Funds are directly deposited into your PayPal account. This allows tenants to use a variety of payment methods and you receive payment quickly. An additional benifit is that when the tenant makes online payments they are automatically recorded in the IPM software accounting system automatically! This is a very nice feature if the tenant community is willing to pay the extra 3% for this service. If you rather absorb this fee yourself in an effort to make PayPal and credit cards your standard method of payment contact IPM and we can change this feature individually. (954)243-8463.

Online Payment Service Fee Calculation

Our systems uses PayPal for secure online rent and other payments. Paypal charges a fee for this service which was being absorbed. Today we added a service fee of 3% to all online payments that will more than compensate for the PayPal charges. This means the owner will be fully compensated for online payments. Syndication - Include Phone Number in online ads

An option has been added to the Self-Syndication page allowing you to choose whether you want your phone number to appear in online ads that you self-syndicate. Prior to this option phone numbers were not published in online ads. Applicants were required to respond via the online call back request form. If your office wants to increase phone call volume you can choose to publish your phone number in online ads now. If you prefer to receive tenant inquiries online first then choose to call back those which you feel are best suited for a vacancy you can choose to not publish your phone number with your online ads. Owner record delete option

The ability to delete an owner record was added this week. If you have an owner that has sold their property to another owner or if you have added owner records that never evolved into clients then you may want the ability to remove them from the database. From the Owner's directory select the owner record you wish to remove. When you do this the 'Delete Owner' button will be enabled. Until you select an owner record the 'Delete Owner' button is not enabled because an owner must be selected first. When you click the 'Delete Owner' button checks are done to see if the Owner has any invoices or existing properties. If they do you will be required to re-assign these to another owner. Once you have selected the owner you wish to reassign any invoices or existing properties to you can proceed with the delete function. If the owner does not have any invoices or existing properties affiliated with them then the delete function runs immediately. New Syndication Feature added

Today we made it very easy for your property management firm to self syndicate (advertise) your listings on several of the major free listing services such as CraigsList, BackPage, OLX, etc... We have had this feature internally for a long time but it was not available to the public. Now you can use the same tools we do to very quickly advertise your rental and sales listings. When you click on 'Apartments for Rent' from the home page, the next page that opens will list all of the rentals. In this listing each unit now has a link called 'syndicate'. Click on this link and you are taken to a page that has code you can simply cut and paste into each of the major free listing service sites. Internally our staff is able to very quickly advertise a listing across multiple sites giving us great exposure for each rental. Introduce your staff to this new feature and give it a try yourself. If you have been manually advertising on the free search engines I am sure you will love this new feature. The code you cut and paste is unique to each listing service. The result is a nicely formated ad containing a full description and photos of each rental you post. This is all done for you so it is a great utility I am sure you will appreciate. Rental Listing Email Feature - Beta Testing

This time saving feature was just added tonight. Each Property Manager has their own customized property listings (client example: http://www.internetpropertymanager.com/rentals.aspx?ID=8). New on this page are check boxes associated with each property listing and a place to enter an email address. Check the boxes next to the properties you want to email, enter the email address you want the listings sent to and click the 'Send' button. This sends a pre-formatted email to the email address you specify with links back to the full property profiles of the listings you selected. This is a great way to very quickly respond to a prospective tenant or buyer. You could easily do this while you were on the phone with them. A Great time saver for your Rental Agency or Property Management firm.

New Client Wizard - Enhancement Development

This enhancement is for the existing Internet Property Manager New Client Wizard. The wizard is activated by clicking the link in the upper right corner of the Property Manager Summary Screen 'Add a New Client'. The wizard is a several page process that steps you through step by step adding a new property/client to your property management portfolio. This enhancement is to add a bare bones property description to each unit including the number of bedrooms, baths, square feet, rent rate and deposit. This means when you complete the Wizard each unit in the property will be defined to the point that it is advertisable by the integrated marketing system. Before this enhancement individual units needed to be defined manually before they were advertisable. We highly recommend after the wizard completes that you go into each unit and add photos and more specific details regarding each. We expect this enhancement to be completed by Friday July 17, 2009.
